Booking Conditions for All Clubs, School and University Groups


Bookings must be made in writing and accompanied by the appropriate deposit as per our quotation letter/email, the contract between us is created upon reciept of deposit and a receipt being issued. For all bookings made within 8 weeks of departure, the holiday contract is confirmed as soon as either verbal or electronic confirmation of the booking is provided.


When making this booking, you warrant that you have the authority to enter into this contract on behalf of all other members of your party and that you are also responsible for ensuring due payment of all monies payable in respect of this booking, in the event of default by any member of the party.


Prices are generally in pounds sterling unless requested otherwise and any change in currency will been calculated on the date of your quotation.


All tours have been based upon a minimum number of passengers travelling together, as shown in our quotation. In the event of any cancellations, we reserve the right to provide a new quotation based on the new numbers as well as retain the deposits of those who have cancelled. This may well apply in the case of coach travel where your travel will be priced on a specific number for example you will be clearly advised price is based on minimum of 40 people travelling, supplements will apply for numbers below this.


You will need to pay a deposit to us at the time of booking in the amount notified to you at the time of booking. You may also be required to pay for any non-transferable and non-refundable items such as special air fares, tickets, attraction tickets or entry permits and any other applicable supplements due at the time of booking. Some airfares are booked at especially competitive rates to which airlines may attach severe restrictions. You may be asked to pay for these in full at the time of booking and they may be non-refundable in the event of cancellation. Details will be given at the time of booking.

We will then invoice you for the remainder of the cost due before you travel, which you must pay not later than 70 days before departure or by the balance due date detailed on your confirmation. To pay your final balance, amend your booking or discuss any other aspect of your holiday booked directly with us, call our Operations team. If you book less than 70 days before departure of your tour full payment (less any payment which must be paid locally) must be made on booking by credit or debit card.

If you do not pay any balance by the due date your booking will be cancelled and you will forfeit your deposit plus any other relevant charges. If you do not pay the local payment on the due date your booking will be cancelled (and we shall have no further liability to you) and cancellation charges will be levied as appropriate.

Please note that cheques require 5 working days to clear. Cheques that will not clear by the balance due date cannot be accepted.

We only accept card payments from passengers travelling on the booking. There are no additional charges when paying by credit or debit card. Any currency conversion costs, bank charges or any other charges incurred in you making payment shall be borne in full by you and shall not be deductible from amounts due to miTour.

PLEASE NOTE: All deposits are non-refundable.


You were advised of the balance due date at the time of entering into the contract.

By not paying on time, you’ve broken the tour contract. Mitour reserve the right to apply our cancellation charges, which in most cases is the forfeit of deposit.

Be aware that companies are not responsible for sending out reminders when it’s time to pay your balance. Some companies may choose to do this but this doesn't change the contractual agreement you have with them to pay on the date agreed.


It is your responsibility to check with your doctor at least 2 months prior to departure for the latest requirements, recommendations and any associated costs. A copy of the 'Health Advice for Travellers’ issued by the Department of Health can be provided upon request. It is your responsibility to check any country related travel advice before embarking on your trip. Specifically any advice issued by the British Foreign and Commonwealth Office:


It is your responsibility to be in possession of a valid passport and any necessary visas, or health documents, as required, for the entire duration of your holiday, and to ensure that you meet the entry requirements of the countries that you are travelling to. Requirements may change and you must check the up to date position in good time prior to departure. The name in the passport must match the name on your ticket where provided. We cannot accept liability, or consider refunds if you cannot travel, because of incomplete, or incorrect documentation. Please ensure every member of your group is aware of this.


If, in the opinion of the miTour representative/escort on your tour, deems your behaviour or the behaviour of anyone in your touring party is such that it impairs the enjoyment or upsets other clients, disrupts the tour party or upsets any of the local suppliers, in the first instance you will be given a warning but if the unacceptable behaviour continues, we reserve the right to terminate all tour arrangements immediately without refund. Any charges incurred as a result of unacceptable behaviour are the responsibility of the group or individual and must be paid for prior to your departure from your accommodation.


Cancellations must be made in writing by the person who made the initial booking. A cancellation is not effective until miTour ltd receives the written confirmation letter.

In the unlikely event we may need to make changes which we reserve the right to do at any time. Most are very minor but where they are major we will inform you as soon as possible.


We accept responsibility for the proper performance of our obligations under this contract, subject always to the limitations set out above. We will perform such obligations with reasonable skill and care. We are not responsible for any failure that is:

  • Attributable to you or a member of your party;
  • Attributable to a third party unconnected with the provision of the services to you, and is unforeseeable and unavoidable;
  • Attributable to an event which either ourselves or the supplier of the service(s) in question could not have foreseen or forestalled even with all due care.


We undertake to provide you with the fixtures and accommodation as described on the miTour website or when you have obtained your quote. Once written confirmation of these has been obtained by us/our local agent neither we nor our local agent can be financially responsible for any withdrawal or alteration of this offer. Should this occur, we undertake to provide the most suitable alternative at the time, at the least possible expense to you, with any hotel accommodation required in place of billets to be on a bed and breakfast basis only. An indication of possible additional costs can be provided on request at any time. An exception to the above applies to one-fixture tours, where we would consider cancellation of the only fixture for reasons other than force majeure a significant change.

Please note that your accommodation will be based on an occupancy basis and these will be the prices you are quoted. Under occupancy in accommodation may incur supplements which you will be advised of in advance. For example a minimum of four people will be required to stay in a four berth unit, a minimum of five persons will be required in a six berth or a minimum of seven persons in an eight berth unit anything under this will incur supplements.


All information provided has been compiled from up-to-date details and we have taken the utmost care to ensure its accuracy. There may be occasions when an advertised facility is either modified or not available. Such situations may be dictated by local circumstances necessary for maintenance (swimming pools for example), unsuitable weather, fuel shortages, accidental damage to accommodation or other circumstances totally beyond our control. If we are advised of this, we will inform you as soon as possible.

We do our best to meet any special requests made by you and to pass these on to the appropriate persons provided they are clearly noted on the Booking Request Form. However, we can only guarantee those special requests confirmed by us in writing.


Under the terms of this contract you are required to have suitable travel insurance and or playing insurance when touring.


All tours and trips advertised in our brochures and on our website are operated by miTour Ltd (registered company no. 08972483) with its registered office situated at Mitour Ltd, Axis 8, Axis Court, Mallard Way, Riverside Business Park, Swansea Vale, Swansea, SA7 0AJ.

The Package Travel, Package Holidays and Package Tours Regulations 1992 require us to provide security for the monies that you pay for the package holidays booked from us and for your repatriation in the event of our insolvency.

When you buy an ATOL protected flight or flight inclusive holiday from us you will receive an ATOL Certificate. This lists what is financially protected, where you can get information on what this means for you and who to contact if things go wrong.

We will provide you with financial protection for any ATOL protected air package or flight that you buy from us by way of our Air Travel Organiser’s Licence number 11164, administered by the Civil Aviation Authority (‘CAA’). When you buy an ATOL protected air package or flight from us you will receive an ATOL Certificate. This lists the flight, accommodation, car hire and/or other services that are financially protected, where you can get information on what this means for you and who to contact if things go wrong.

We, or the suppliers identified on your ATOL Certificate, will provide you with the services listed on the ATOL Certificate (or a suitable alternative). In some cases, where neither we nor the supplier are able to do so for reasons of insolvency, an alternative ATOL holder may provide you with the services you have bought or a suitable alternative (at no extra cost to you). You agree to accept that in those circumstances the alternative ATOL holder will perform those obligations and you agree to pay any money outstanding to be paid by you under your contract to that alternative ATOL holder. However, you also agree that in some cases it will not be possible to appoint an alternative ATOL holder, in which case you will be entitled to make a claim under the ATOL scheme (or your credit card issuer where applicable).

If we, or the suppliers identified on your ATOL certificate, are unable to provide the services listed (or a suitable alternative, through an alternative ATOL holder or otherwise) for reasons of insolvency, the Trustees of the Air Travel Trust may make a payment to (or confer a benefit on) you under the ATOL scheme. You agree that in return for such a payment or benefit you assign absolutely to those Trustees any claims which you have or may have arising out of or relating to the non-provision of the services, including any claim against us, the travel agent (or your credit card issuer where applicable). You also agree that any such claims may be re-assigned to another body, if that other body has paid sums you have claimed under the ATOL scheme.

All the flights and flight-inclusive holidays on this website are financially protected by the ATOL scheme. When you pay you will be supplied with an ATOL Certificate. Please ask for it and check to ensure that everything you booked (flights, hotels and other services) is listed on it.
